CIRES has updated its process related to work modality agreements to align with new campus protocols. This includes an updated online work modality agreement form, to be completed by an employee to request a hybrid, in-person, or fully remote work agreement. The employee should consult with their supervisor in advance of completing an agreement. Supervisors will consult with the larger team/unit or science advisor as appropriate.
Campus wants all CU employees to have an agreement on file by September 30, 2022. If you already completed an agreement request within the last 12 months through our online system, you do not have to resubmit. Agreements should be updated annually at a minimum, or whenever a change to schedule or modality takes place.

Process for requesting a work modality agreement:
CIRES Hybrid or On-Site Work Modality Approval Process:
- CIRES Employee completes the Hybrid Work Modality agreement after discussing the arrangement with their CIRES supervisor and CIRES operational team/unit as appropriate. This agreement will detail their planned on-site work schedule. Once submitted, the supervisor will receive an email to review the request.
- CIRES Supervisor reviews, approves, denies, or requests changes to the agreement, taking into consideration the larger team or unit’s operational approach, nature of the employee’s work, and with input from federal science advisor as appropriate. Upon approval by the supervisor, an email from Docusign will be launched to collect signatures from the employee and supervisor. The approved agreement will be uploaded to the employee’s Servoy profile, viewable by the employee, supervisor and CIRES HR.
CU and CIRES have not set a minimum number of on-site work days for its employees, per guidance from CU. This should be driven by the nature of work, the team’s operational needs, and any stakeholder needs.
CIRES Fully Remote Work Agreement Request Process:
1) CIRES Employee completes the Remote Work Modality Agreement after a discussion with their supervisor.
2) CIRES Supervisor reviews each request in discussion with CIRES lab lead or team lead as appropriate. The supervisor will also take into consideration the nature of work and any input from the science advisor. Supervisor can request changes, approve, or deny the initial request. Once approved, it moves forward to CIRES HR.
3) CIRES HR Liaison will forward CIRES supervisor-approved requests for additional input as needed:
- On campus – HR Liaison will forward for input from unit head as appropriate.
- At DSRC – HR Liaison will forward agreement to respective federal point of contact for federal input.
4) Labs and Units Heads will have 21 days to review the submitted agreement for any input to be considered by the CIRES Director in making the final decision.
5) CIRES Director and CU Boulder’s Dean of Institutes will review and finalize decisions on all requests after the 21-day timeline, considering any input from campus unit heads or federal partners. If approved, an email from Docusign will be launched to collect signatures from the employee, supervisor, CIRES Director, and the CU Boulder Dean of Institutes. The approved agreement will be uploaded to the employee’s Servoy profile, viewable by the employee, supervisor and CIRES HR.
6) HR Liaison will communicate with employees regarding the outcomes of their requests and approved agreements will be uploaded to the employee’s personnel profile.
