Info on Upcoming Conferences

  • You should work with your supervisor to determine whether in-person conference attendance is essential

  • AGU, AMS, and EGU are all still scheduled for Dec 2020; Jan 2021, and April 2021, respectively

  • All conferences intend to offer either in-person or virtual attendance options

  • You can use either a P-Card or your Travel Card to pay for conference registrations, even if you are registering to attend a virtual/remote conference.

Virtual vs. In-Person Attendance

If you are planning to attend a conference virtually, you do not need to request “Return to Research” or travel approval. Your conference registration may be paid with either your P-card or a Travel card.

All non-essential University-related travel is still suspended. The campus will grant permission when the travel serves a significant need, and the risks of travel can be mitigated. At this time, all trip requests will be subject to enhanced review and approval before travel arrangements can be made.

If you plan to attend a conference in-person, you will need to complete a “Return to Research” request and receive approval from CIRES Travel. Before submitting either request, talk with your supervisor to determine whether in-person attendance at the conference is essential. American Geophysical Union (AGU), San Francisco, 7-11 Dec 2020

Fall Meeting 2020 will include over a thousand hours of virtual content. Most content will be prerecorded or available as posters for attendees to view and peruse outside of scheduled sessions during the meeting.

American Meteorological Society (AMS), New Orleans, 1/10-1/14/21:

The best place to keep up with information for the annual meeting is on the  2021 Annual Meeting website.

Oral and poster sessions, panel discussions, and exhibits will be offered in a virtual format. AMS is also planning to offer virtual networking opportunities and short courses. 

AMS is also exploring options for a smaller, in-person meeting in New Orleans for those that would still like to gather, if it will be safe to do so. 

European Geophysical Union (EGU) General Assembly, Vienna, Austria, 4/25-4/30/21: 

From 2021, virtual participation in the General Assembly will be enabled, giving participants the choice to attend either physically – with EGU offsetting their carbon footprint – or virtually from home. The structure of the conference will be flexible, giving us the opportunity to easily adapt to the uncertain global context.

Using a Travel Card or P-Card

CU prefers that we use P-cards to pay for conference registration fees, however it is also allowable to use a Travel Card. If you want to have your registration paid for with a P-card and you don’t have one, email us at cirestravel@colorado.edu and we can pay the registration fees for you.

If you use your Travel Card, you’ll need to wait until after the conference is completed to submit your expense report in Concur. Let us know if you have questions or concerns on that process
