The new text is posted in full on InsideCIRES, here: <a rel=\"noreferrer noopener\" href=\"https:\/\/insidecires.colorado.edu\/finance\/travel\/costs\/\" data-type=\"URL\" data-id=\"https:\/\/insidecires.colorado.edu\/finance\/travel\/costs\/\" target=\"_blank\">https:\/\/insidecires.colorado.edu\/finance\/travel\/costs\/<\/a>.<\/p>\n\n\n\n<p><strong>What has changed?  <\/strong><\/p>\n\n\n\n<ul class=\"has-black-color has-text-color wp-block-list\"><li>Defined criteria for when CIRES will support the cost of individual memberships<\/li><li>Added clarity on what CIRES defines as &#8220;presenting research&#8221; at professional conferences<\/li><li>Added guidance for researchers who want to purchase individual professional memberships with non-sponsored funds<\/li><li>Added timeline for when CIRES will review and update this reimbursement policy going forward<\/li><\/ul>\n\n\n\n<p><strong>What is the new policy?<\/strong><\/p>\n\n\n\n<ul class=\"has-black-color has-text-color wp-block-list\"><li>CIRES funds (i.e. non-sponsored project funds) can be spent on memberships, if a membership is <strong>required <\/strong>for a researcher to present work related to a sponsored project.<\/li><li>Presenting research includes submitting an abstract, speaking proposal, publication or poster presentation at a professional conference.<\/li><li>When a membership is <strong>not required<\/strong> to present research, CIRES considers the membership cost a personal expense that should be paid by the researcher. <\/li><li>Researchers can work with their <a rel=\"noreferrer noopener\" href=\"https:\/\/cires.colorado.edu\/administration?field_staff_type_value=6\" data-type=\"URL\" data-id=\"https:\/\/cires.colorado.edu\/administration?field_staff_type_value=6\" target=\"_blank\">CIRES Finance Manger<\/a> to determine whether a non-sponsored, discretionary fund can pay for memberships that are not related to presenting research. <ul><li>Tip: When you log into <a rel=\"noreferrer noopener\" href=\"https:\/\/insidecires.colorado.edu\/home.php\" target=\"_blank\">InsideCIRES<\/a>, your Finance Manager is listed in the upper right-hand section titled &#8220;Your CIRES Information&#8221;:<\/li><\/ul><\/li><\/ul>\n\n\n\n<figure class=\"wp-block-image size-large\"><img loading=\"lazy\" decoding=\"async\" width=\"1024\" height=\"331\" src=\"https:\/\/ciresblogs.colorado.edu\/cires-admin\/wp-content\/uploads\/sites\/67\/2021\/03\/Screenshot-2021-03-09-102034-1024x331.png\" alt=\"\" class=\"wp-image-1500\" srcset=\"https:\/\/ciresblogs.colorado.edu\/cires-admin\/wp-content\/uploads\/sites\/67\/2021\/03\/Screenshot-2021-03-09-102034-1024x331.png 1024w, https:\/\/ciresblogs.colorado.edu\/cires-admin\/wp-content\/uploads\/sites\/67\/2021\/03\/Screenshot-2021-03-09-102034-300x97.png 300w, https:\/\/ciresblogs.colorado.edu\/cires-admin\/wp-content\/uploads\/sites\/67\/2021\/03\/Screenshot-2021-03-09-102034-768x248.png 768w, https:\/\/ciresblogs.colorado.edu\/cires-admin\/wp-content\/uploads\/sites\/67\/2021\/03\/Screenshot-2021-03-09-102034.png 1328w\" sizes=\"auto, (max-width: 1024px) 100vw, 1024px\" \/><\/figure>\n\n\n\n<ul class=\"has-black-color has-text-color wp-block-list\"><li>CIRES will review the membership reimbursement policy annually to ensure it remains financially feasible and is reasonable based on other university, state, and federal policies.<\/li><\/ul>\n\n\n\n<p><strong>How to Purchase Memberships:<\/strong><\/p>\n\n\n\n<p class=\"has-black-color has-text-color\">Researchers who have purchased an individual membership to present their research results at a professional conference need to attach proof of the membership requirement along with an itemized receipt to their expense report. Proof of the membership requirement can be shown with a screen shot from the conference webpage or some other written confirmation from the professional organization.<\/p>\n\n\n\n<p>You can email&nbsp;<a rel=\"noreferrer noopener\" href=\"mailto:cirestravel@colorado.edu\" target=\"_blank\">cirestravel@colorado.edu<\/a>&nbsp;if you want to have a membership fee paid with a P-card and you do not have one.&nbsp;<\/p>\n\n\n\n<ol class=\"has-black-color has-text-color wp-block-list\"><li><strong>Personal Credit Card<\/strong>&nbsp;&#8211; You may purchase a professional membership on a personal credit card. You can follow the&nbsp;<a rel=\"noreferrer noopener\" href=\"https:\/\/www.cu.edu\/psc\/training\/reconciling-concur\/adding-out-of-pocket-expenses\" target=\"_blank\">PSC instructions for creating an out-of-pocket reimbursement<\/a>, when you&#8217;re ready to request reimbursement for the expense. Membership fees purchased with a personal credit card should be reimbursed after the conference is completed, along with any other expenses related to the conference that were purchased out-of-pocket or on a Travel card. <\/li><li><strong>Travel Card&nbsp;<\/strong>&#8211; Employees can pay for their membership fees on their Travel Card. If a Travel Card is used to pay for a membership, the attendee needs to wait until after the conference is completed to submit their expense report in Concur. Any other out-of-pocket costs related to the conference should be included in the Travel Card expense report. Please visit the&nbsp;<a rel=\"noreferrer noopener\" href=\"https:\/\/insidecires.colorado.edu\/finance\/travel\/reimbursement\/\" target=\"_blank\">\u201cGetting Reimbursement\u201d<\/a>&nbsp;section of InsideCIRES for information regarding how to submit travel expense reports.<\/li><li><strong>P-Card<\/strong>&nbsp;&#8211; Employees can pay for their own membership fees, other employees&#8217; membership fees, or a non-employee&#8217;s membership fees using their P-Card.
